Quote Builder
Create, manage, and compare project quotes using workflows, templates, and historical data.
The Quote Builder is a powerful tool designed to help you quickly assemble, evaluate, and generate professional quotes for your projects. By leveraging pre-defined workflows, templates, and historical project data, you can build accurate estimates that protect your profitability.
Quote Configuration
At the top of the Quote Builder, you will establish the foundational parameters for your new quote:
- Top Left (Settings): Select your Quote Type (either Time and Expense or Fixed Fee) and establish the applicable Tax Rate.
- Top Right (Total Budget): This area displays the Total Budget for the quote. This figure is automatically calculated by summing up all the line item totals below it, exclusive of the tax multiplier.
Managing Line Items
Below the configuration section is where you will build out the scope of your quote through line items. Every line item must be built upon a foundational workflow defined in your Team Settings.
You have two options for adding line items:
- Import a Template (Recommended): Import a pre-configured template line item from your Team Settings. This provides a robust starting point that you can easily sculpt to fit the specific needs of the current quote.
- Build from Scratch: Start with a base workflow and manually configure the tasks from the ground up.
Modifying Line Items
Once a line item is added to the page, you have full control over its variables. You can adjust the line item's Name, Quantity, and the individual Hours and Rates for each task within it.
Important Note on Budget Overrides: > The line item budget is automatically calculated based on the task rates and hours you input. You have the ability to manually override this total to increase or decrease the line item's budget. However, if you manually override the budget, you must not modify the task rates or hours afterward, or your manual budget override will be recalculated and lost.
Historical Comparisons
To ensure your quotes are competitive and profitable, Time Assign allows you to benchmark your current draft against past work.
- Line Item Comparison: Once you are satisfied with a newly created line item, click the Compare Similar button. This will surface similar line items from past projects and display their profitability. You can adjust the priority filters to change which historical matches appear at the top.
- Project Comparison: After all line items have been added to the quote, you can compare the overall project scope to similar past projects to evaluate historical performance and finalize your pricing strategy.
Quote Lifecycle
Once your quote is fully assembled and compared, you can move it through its final stages:
Generation and Review
- Generate Quote: When you are happy with the build, click this to finalize the document. Note: Once generated, the quote's values are locked and cannot be modified unless you explicitly edit the quote.
- View Quote: Click this to view the generated PDF document.
- Update Quote: If you experience any display issues with the PDF, clicking this will regenerate the file.
Post-Generation Actions
- Edit Quote: Unlocks the generated quote so you can make further modifications to get it closer to client approval.
- Archive Quote: If the client decides not to move forward or chooses another vendor, use this action to securely store the quote for your records.
- Approve Quote: Once you receive the green light from your client, click this button. Time Assign will automatically generate a new, active project directly from the quote's parameters.
