Tasks
A comprehensive guide to managing, viewing, and organizing your project tasks and line items.
The Tasks page is your primary interface for tracking project deliverables and managing workflows. Because tasks are often repetitive steps tied to a deliverable process, they are associated with unique Line Items. The Tasks page provides two distinct ways to interact with your workload: List View and Board View.
List View
The List View provides a traditional, comprehensive look at all of your tasks. In this view, each row represents a single task, and the Line Item it belongs to is displayed as a dedicated column entry within that row.
Searching and Filtering
At the top of the page, you have powerful tools to narrow down your list:
- Search: Quickly locate specific work by searching for a task name, project name, or line item.
- Filters: By default, the list is filtered to only show tasks for projects that are currently in the Active status. You can adjust your filters to sort by:
- Priority
- Project
- Assignee
- Inactive Tasks: Toggle this to view tasks that are currently hidden because their workflow step is not yet active.
Task and Line Item Details
The List View is highly interactive, allowing you to dive deeper into specific items without leaving the page:
- Viewing Line Items: Clicking on a Line Item (in the column entry) opens a detailed view showing the overarching budget used, priority, assignees, description, workflow, and the expected time for each step in that process.
- Viewing Tasks: Clicking directly on a Task row opens a smaller, focused pop-up. From here, you can quickly log your time, change the task status, update assignees, and review the hours spent versus the expected hours for that specific step.
Board View
The Board View offers a visual, Kanban-style approach to managing your deliverables. Note that individual tasks are not visible in this view. Instead, the board exclusively displays Line Item cards.
When switching to the Board View, you retain all of the search capabilities and filter options available in the List View. You can organize the board in four different ways: Workflow (Default), Priority, Budget Utilization, and Client.
Workflow View (Default)
When the board is set to the Workflow view, an additional dropdown will appear, requiring you to select a specific workflow to display. Once selected, you will see a line item card for each line item assigned to that workflow.
Line Item Cards display:
- The parent Project at the top of the card.
- The exact Line Item Name as the description.
- The current Priority and Assignee.
- A Progress Bar in the top right corner indicating how much of the budget has been utilized for that specific line item.
Workflow Automation: The Workflow board allows you to manage tasks efficiently from a high-level view.
- Manual Movement: When you drag and move a line item card between workflow phases, the system automatically updates the hidden underlying tasks. All tasks from prior steps are marked Complete, the current step is marked In Progress, and future steps remain as To Do.
- Task Completion via List/Dashboard: Conversely, as you mark tasks complete from the List View or Dashboard, the line item card will automatically move itself through the workflow stages on this board.
- Note: Moving line items on this board will immediately change which active tasks appear on your Dashboard and List View.
Alternative Board Views
If you change the board from the default Workflow view to Priority, Budget Utilization, or Client, the columns will adjust to organize your line item cards by that specific property.
In these alternative views, the line item cards display all of their standard information, but will now also feature a tag indicating which specific workflow they belong to, providing helpful context at a glance.
