Dashboard

Overview of the user dashboard, managing tasks, and logging time.

The Dashboard is your central hub for managing daily work. It provides an immediate view of your active tasks and a comprehensive interface for logging and reviewing your time entries for the day.

My Tasks

At the top of the dashboard is the My Tasks section. This area displays all tasks that have been assigned to you and are currently active.

Since projects are broken down into line items and further into smaller tasks, you will see the following information for each entry:

  • Line Item: The overarching category the task belongs to.
  • Task: The specific action item.
  • Project Status & Priority: Key indicators of the project's health and urgency.

Quick Time Assignment

Each task features a quick time assignment box. When you click on it, all you have to do is enter the amount of time you spent. The current date and time are automatically recorded, allowing for rapid time entry without navigating away from your task list.

Today's Time

Below the My Tasks section is the Today's Time area. This section allows you to view, modify, and verify your time entries for the current day.

Creating Detailed Time Entries

If you need to create a more detailed time entry or log time for something not on your active task list (such as the automatically generated "Other" task for line items), you can use the detailed time entry pop-up:

  1. Filtering: The top two boxes act as filters to help you quickly find what you're looking for.
  2. Project and Line Item: Select the specific project and line item you are working on.
  3. Task Selection: Choose a task from the available list. You can select the "Other" task if your work doesn't fall under a predefined specific task.
  4. Modifiers: Add modifiers such as Overtime or Non Billable if applicable.
  5. Description: Provide a description of the work performed. Note: A description is always required when logging time to "Other" tasks.

Time Entry Methods

When creating a time entry, you have two options for recording the time spent:

  • Duration-Based (Rapid Time Entry): Enter the total duration worked. The system will automatically calculate the start and end times, beginning at your typical shift start time and building sequentially off of previous time entries for the day.
  • Start and End Time: Manually select your exact start and end times. This is ideal when you worked specific hours and prefer not to calculate the total duration yourself.

Modifying Time Entries

Once a time entry is created, you have the flexibility to modify it. You can adjust the hours, description, or task details as long as the entry has not yet been reviewed or billed. Once an entry is explicitly reviewed or billed, it becomes locked to ensure accurate invoicing and historical records.

Daily Expenses

Directly below the Today's Time area is the Daily Expenses section. Here, you can quickly add and manage your miles and transactions for the day.

  • Mileage: When logging miles driven, the system automatically calculates and displays the amount owed to you based on the company's reimbursement rate. You must then assign these miles to a specific project and line item.
  • Transactions: Similar to mileage, when logging out-of-pocket transactions, you assign them to a project and line item. However, transactions also require you to upload a receipt for verification.

Ready for Submission

Below the Daily Expenses box, you may see a "Ready for Submission" notification. This alert appears if you have unsubmitted time and expenses for the current week.

Clicking the Review and Submit button in this notification will take you directly to the comprehensive time page, allowing you to quickly finalize and submit your weekly timesheet for approval.

Dashboard Graphs

At the bottom of the dashboard are two quick-reference graphs providing insights into your work:

  • Budget Utilization: This graph visualizes the budget utilization for your five most recent projects, helping you understand where project hours stand against the planned budget.
  • Billable vs. Non-Billable Trends: Situated next to the utilization graph, this chart displays your trend of billable versus non-billable hours over the course of the week, giving you an at-a-glance view of your productivity metrics.
