Team Settings

The Team Settings page is the central hub for administrating your organization in Time Assign. It is broken up into six key sections that allow you to manage your team, control financial rules, and configure your company's automated workflows.

1. Team Members

The Team Members section is where you manage the people in your organization. Here, you can:

  • Add new users and manage available seats.
  • Deactivate old or departing users.
  • Assign users to specific roles, which act as modifiers for how a user is paid based on their responsibilities and permissions.

2. Billing and Rates

The Billing and Rates section allows you to define the financial foundation of your team's tracking. This is where users can:

  • Create different organizational roles and define their base hourly rates.
  • Apply hourly rate adjustments.
  • Configure task modifiers (e.g., Overtime, Double Time, and Non-Billable status) that impact how logged time interacts with project budgets.

3. Subscription

In the Subscription section, team administrators maintain the organization's billing and plan information. You can:

  • Manage the team's active subscription tier.
  • Adjust the number of licensed seats available for your team.

4. Templates

The Templates section streamlines project creation. It allows users to:

  • Create standard Line Items that can be repeatedly used when starting a new project.
  • Require each Line Item to be attached to a specific workflow.
  • Assign unique estimated hours and billing rates specifically tailored to each templated Line Item.

5. Workflows

Workflows dictate the lifecycle of your tasks and line items. The standard workflow always begins with To Do and concludes with Complete. In between, you can define custom steps (for example: To Do, Design, Design Review, Submittal, Ordering, Complete).

  • Custom Milestones: Each company is permitted to set up their own distinct workflows.
  • Time and Rate Assignments: You can assign specific time estimates and rates to individual steps.
  • Insight and Reporting: By tracking time against tailored workflows, organizations gain clearer insights into process bottlenecks (e.g., where they are spending the most time or potentially losing money).

6. Settings

The final Settings section covers global organizational preferences:

  • Business Profile: Upload your company's logo and contact information, ensuring this data is professionally presented on all generated Invoices.
  • Mileage Reimbursement: Define the standard reimbursement rate per mile driven for field services and travel.
  • Submission Period: Select the default timesheet submission period (e.g., Weekly, Bi-Weekly) and optionally enable autosubmit at period closing.
  • Notifications: Configure company-wide notification settings so that employees receive emails regarding timesheet deadlines, approvals, and workflow changes at the right moments.
