Project Setup
Establishing a new project in Time Assign is designed to be a straightforward, guided process using our project setup wizard. This ensures that every project starts with a solid foundation, a clear Work Breakdown Structure (WBS), and well-defined team assignments.
The Setup Wizard Flow
The project setup wizard walks you through the essential steps to get your project up and running:
1. Project Details
Begin by defining the core details of your project:
- Client & Location: Select the client and specify the project site location.
- Project Name & Number: Provide a distinct name and your internal project tracking number.
- Dates & Status: Set the expected start and completion dates.
2. Building the Work Breakdown Structure (WBS)
A robust WBS is the backbone of accurate time assignments. The wizard helps you break down the project into manageable phases and line items:
- Define Phases: Create high-level phases such as Hardware Design, Software Engineering, Panel Fabrication, and Site Commissioning.
- Create Line Items: Under each phase, define specific line items (e.g., PLC Programming, HMI Development, FAT Testing).
- Set Budgets: Assign financial budgets and estimated hours to each line item to track progress and profitability accurately.
3. Assigning Team Members
Once the WBS is established, you must assign your team members to specific financial buckets:
- Select Personnel: Choose the engineers, technicians, and project managers who will work on the project.
- Assign to Line Items: Crucially, map team members to the specific line items they are authorized to work on. This prevents misallocation of time and ensures that time entries are logged against the correct budgets.
- Define Roles & Rates: Confirm the roles and billing rates for each team member on this specific project, as they may differ from their default rates.
By carefully following the project setup wizard, you guarantee that time tracking aligns perfectly with your project's financial goals and operational structure from day one.
